Who we are
This website and our services are run by Chrysalis Education, a company registered in the United Kingdom (company number Company number to be added, registered office Registered office address to be added). Chrysalis Education is owned by PowerCourses LLC, United States, and operates internationally through regional partnerships.
When this policy says “Chrysalis”, “we”, “us” or “our”, it means Chrysalis Education. For the purposes of data protection law, we are the controller of the personal information described here: we decide why and how it is used.
This policy covers chrysalis.education and the ways you can reach us through it — enquiry and admissions forms, email, WhatsApp, live chat and phone — together with our services, including EDU Concierge, Spark and Dexter. Some services may give you an additional, more specific notice when you sign up; where they do, that notice adds to this one.
Information we collect
We collect only what we need to answer you and, if you go ahead, to provide the service you choose.
Information you give us
- Contact details — your name, email address, phone or WhatsApp number, and country or city.
- About your child — when you enquire about a service for a child, details such as their first name, school, year group, curriculum, subjects and the support you are looking for.
- Your messages — what you write to us in forms, emails, chats and WhatsApp messages, and notes of calls.
- Applications — if you apply to work with us, your CV and the information in your application.
- Service and billing information — if you become a member or customer, the information needed to run your account, deliver lessons and support, and take payment. Card payments are handled by our payment provider; we do not store full card numbers.
Information collected when you visit the site
Like any website, the server that hosts our pages records basic technical information — such as your IP address, browser type and the pages requested — to deliver the site and keep it secure. Our pages also load fonts from Google Fonts, which means your browser connects to Google’s servers and shares your IP address with Google.
We do not currently use analytics, advertising or tracking cookies on this website. See Cookies.
Children’s information
Our services are for children and young people, so we take particular care with their information.
- We collect information about a child from their parent or legal guardian, who makes the enquiry and agrees to the service on the child’s behalf. Our website forms are for adults to complete.
- We ask only for what we need to recommend and provide the right support, and we do not use children’s information for marketing.
- Where a student uses one of our platforms directly, they do so as part of a service their parent, guardian or school has arranged, and we limit what is collected to what is needed to teach and support them.
- If we learn that we hold a child’s information without the involvement of a parent, guardian or school, we will delete it.
How we use your information
We use personal information to:
- reply to your enquiry and arrange a consultation, demo or call you have asked for;
- assess whether, and how, we can help your child, and recommend a plan;
- provide the services you sign up for, including scheduling, teaching, assessment, progress reporting and support;
- take payment and manage your account;
- consider job applications;
- keep our services and students safe, and meet safeguarding, legal and regulatory obligations;
- improve how we run our services; and
- send you news or offers, only if you have agreed to receive them.
Our legal basis
Under UK and EU data protection law we rely on: taking steps at your request before a contract (answering an enquiry), performing a contract (providing a service), legitimate interests (running and improving our business in ways you would reasonably expect), legal obligation, and consent (for marketing, and anywhere else we ask for it). Where the law of another country we operate in, such as the UAE, sets its own conditions, we meet those as well.
How we keep your contact number confidential
Many families reach us by phone and WhatsApp, and we know a phone number is personal. These are our commitments for every phone number we hold — yours and your child’s.
Your number is used only to talk to you about what you asked us about, or about the service you have with us. It is never sold, never shared for anyone else’s marketing, and never shown to other families.
- One purpose. We use your number to respond to your enquiry and, if you become a member, to coordinate your child’s education with you. We do not use it for anything unrelated.
- Never sold or traded. We do not sell, rent, trade or give your number to advertisers, data brokers or any third party for their own purposes.
- Need-to-know access. Only the Chrysalis team members handling your enquiry or your child’s support — such as your Education Manager — can see your number. Tutors and specialists work with you through our own channels and do not receive your personal number unless you ask us to share it.
- No groups without permission. We will not add your number to a WhatsApp group, community or broadcast list where other people can see it, unless you have agreed to join.
- Never published. Your number will not appear on our website, social media or in materials shared with other families, schools or partners.
- Secure storage. Numbers are kept in access-controlled business systems and work accounts, not on personal devices or open spreadsheets, and access is removed when a team member no longer needs it.
- Marketing only with consent. We will not send you promotional calls or messages unless you have agreed. You can stop them at any time by replying “STOP” or telling us.
- Deleted when no longer needed. If your enquiry does not go further, we delete your number in line with How long we keep information.
About WhatsApp. If you message us on WhatsApp, your messages are end-to-end encrypted, but WhatsApp is operated by Meta and its own privacy policy applies to how it handles your account and metadata. If you would rather not use WhatsApp, you can reach us by email or phone instead.
International transfers
We work across several countries, including the United Kingdom, the United States, the United Arab Emirates and the European Union, so your information may be handled outside the country you live in. When it is, we use the safeguards the law requires — such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses — or transfer it to countries recognised as providing adequate protection.
How we protect information
We use technical and organisational measures appropriate to the information we hold, including encrypted connections, access controls, need-to-know permissions and staff training on confidentiality and safeguarding. No system is completely secure; if a breach affects your information, we will act quickly and tell you and the relevant regulator where the law requires us to.
How long we keep information
| Information | How long we keep it |
|---|---|
| Enquiries that do not go further | Up to 12 months after our last contact, then deleted. |
| Members and customers | For as long as you use our services, then for up to 6 years for accounting, tax and legal purposes. Learning records are kept only as long as useful to you, unless the law requires longer. |
| Job applications | Up to 6 months after the role is filled, unless you agree to us keeping it longer. |
| Marketing preferences | Until you withdraw consent, plus a record that you opted out so we do not contact you again. |
Your rights
Depending on where you live, you have the right to:
- ask for a copy of the information we hold about you or your child;
- ask us to correct anything inaccurate;
- ask us to delete information;
- object to, or ask us to restrict, how we use it;
- receive information you gave us in a portable format; and
- withdraw consent at any time, where we rely on it.
To make a request, email hello@chrysalis.education. We will respond within one month and may need to confirm your identity first. Parents and guardians can make requests on behalf of their child.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to a data protection authority — in the UK, the Information Commissioner’s Office (ico.org.uk); in the EU, the authority in your country; in the UAE, the UAE Data Office.
Changes to this policy
We will update this policy when our services or the law change. The date at the top shows when it was last revised. If we make a significant change that affects how we use your information, we will tell you directly where we can.
